Orchestra Member Appreciation
Periodically, we prepare baked good or little notes of appreciation for the orchestra members (Valentine's Day, Christmas, etc.). Volunteers gather at a member's home to prepare these items and another will deliver them to the orchestra at their next rehearsal. Usually six members are needed for one of these events.
Special Events
Orchestra Auditions
Arrive half hour before the start of the event and check in with the designated person. Check in musicians as they arrive, direct them to the holding area or an area for practice as they choose. Find and inform them of their turn to audition. Ensure that their personal items are secure (usually 2 people).
Store Openings
Arrive as scheduled and check in with the store manager or your predecessor. Greet patrons who identify themselves as supporters of the Philharmonic and list them on the sign-up sheet. Thank the proprietor(s) for their kind support of the Philharmonic.
Young Artists Competition
Arrive 1/2 hour before the event and check in with the event director. Check in/sign in artists and provide assistance with the audition as requested. Usually consists of keeping tabs on the artist if he is practicing and notifying him of his turn to audition.
Youth Concerts
Arrive half hour before the event and check in with the designated person. Assist ushers with seating students and upon completion of the concert, assume your designated station and direct students to their buses. The teachers accompany the students and are very receptive to your guidance. Enjoy the concert.
Raffle and Auction Items
The Guild produces several fundraisers throughout the year that showcase donated items for raffle and auction. Volunteers can help by soliciting local businesses and retailers to donate items such as restaurant gift certificates, exclusive merchandise, travel, golf and/or spa packages, etc.
Soliciting Auction Donations
Unless you have a direct connection with a local business or retailer, most organizations require that you contact their marketing, public relations, human resources or philanthropic department to solicit donations. It is important to start the process months in advance since most organizations allocate donations based on their annual budget. The Guild will provide the following materials to you for soliciting donations:
- Information regarding the fundraising event
- Silent Auction Donation Request Form
- Guild brochure
- Tax exemption documentation
Once an organization agrees to donate, the Guild will need the following information for the auction:
- Primary contact name, phone and address from the organization
- Completed Silent Auction Donation Request Form
- Certificate outlining the details of the auction item for the winning bidder.
- Auction item delivered to the Guild one to two weeks prior to the fundraising event
Guild Fundraising Events
Place your sign-up table where you can command the entrance. Greet all guests. There is a Guest List and next to it a page where their prepared name tags may be found. Encourage Guild members to wear their Guild Badge. Check off guests when they arrive and save all pages whether completed or not. Give all guests their name tag, list and prepare a name tag for all not on the original list. Be prepared to direct guests to the food, seating, inside or out, and facilities. Enjoy the evening and please thank the host/hostess (usually 2 people).
Annual Gala
The Guild hosts a stunning fundraising gala once a year to benefit the Philharmonic. Volunteers can assist in the following areas:
Auction Set-up
On the morning of the gala, help deliver and set up auction items at the event location.
Reception Desk
Check in and provide auction and table information to guests as they arrive for the gala.
Silent Auction
Manage the silent auction table during the event. Monitor items on display, answer auction questions and encourage gala attendees to bid on items. At auction close, pick up bid sheets and assist with gathering payment information and delivering auction items to winning bidders.
Live Auction
Showcase live auction items, gather payment information and deliver live auction items to winning bidders.
Raise the Paddle
Collect "raised" paddles and payment information from Gala attendees.
Other
Provide general assistance with other aspects and/or programs during the Gala.
Office Administrative
Assist the Philharmonic office with preparing gift bags, mailers and other administrative/clerical projects.
